Information you provide

When you use our contact form, we collect your name, email address, message and, if supplied, your organisation.

We also process information you provide when contacting us by email, telephone or other communication channels. Please avoid including sensitive personal information or confidential information about other people unless this is necessary and has been agreed with us.

Why we use your information

We use your information to respond to enquiries, discuss potential assignments, prepare proposals and manage professional relationships.

Where you ask us to take steps towards a contract with you, we process the necessary information for that purpose. For other professional enquiries, including enquiries on behalf of an organisation, we rely on our legitimate interest in responding and conducting our business.

We also process technical information where necessary for our legitimate interest in operating and protecting the website. Where applicable, we process information to meet legal obligations.

Fields marked as required in the contact form are necessary for us to receive and answer your enquiry. You can also contact us directly by email.

Contact form and website operation

Contact form submissions are stored in our WordPress website administration system and sent to our business email address.

The form is configured not to store your IP address, browser or device information with your submission. Our hosting provider may still process technical information, such as IP addresses, request details and access logs, to deliver, maintain and protect the website.

The contact form uses a honeypot mechanism to help identify automated spam submissions.

Service providers and other recipients

We use Hostinger for website hosting and business email. Contact form submissions are processed through SureForms within our WordPress website and delivered to our business mailbox. We use Microsoft Outlook Classic to read and manage business correspondence.

We use LiteSpeed Cache and QUIC.cloud for website image optimisation. Images submitted for optimisation are transferred to QUIC.cloud servers for processing. These may include photographs of identifiable people published on the website. We do not use QUIC.cloud as a content delivery network or to process contact form submissions.

Our providers and their relevant subcontractors may process personal information as necessary to deliver and support these services.

Personal information may be processed outside the European Economic Area. Hostinger’s Data Processing Addendum describes its processing arrangements and international transfer safeguards, including the European Commission’s Standard Contractual Clauses where applicable.

Further information is available in Hostinger’s Data Processing Addendum and QUIC.cloud’s Privacy Policy. You can contact us for information about the processing arrangements and safeguards relevant to your information.

Information may also be disclosed to professional advisers or public authorities where necessary to meet legal obligations or establish, exercise or defend legal claims.

How long we keep information

Our website is configured to automatically delete contact form entries from WordPress after 90 days. This setting does not delete copies received by email or copies contained in backups.

For enquiries that do not lead to an assignment, our retention policy is to delete email correspondence no later than 12 months after the enquiry has been concluded. This includes relevant copies in our business mailbox and Outlook.

Where an enquiry leads to an assignment, relevant correspondence becomes part of the client records. Retention depends on the duration of the assignment, applicable statutory record-keeping requirements and the period during which the records are needed for related legal claims.

Technical logs are retained according to the hosting provider’s applicable retention arrangements for service operation, troubleshooting and security. Information relevant to a specific incident may need to be retained for its investigation or related legal obligations.

Backups are used for recovery following technical problems, data loss or website changes. Deleted information may remain in a backup until that backup expires or is deleted. Hostinger states that its daily webhosting backups are retained for seven days; other backup types may follow different schedules.

Our policy for manually downloaded backups is to retain them only while needed for a specific recovery or migration purpose and delete them when that purpose has ended. If a backup is restored, relevant deletions must be reapplied before the restored information is used for ordinary business purposes.

Cookies, browser storage and external websites

The website uses technical functionality to display content and operate its features. WordPress may use browser session storage named wpEmojiSettingsSupports to remember whether your browser can display emoji correctly. This storage is used for content display, rather than advertising or tracking your browsing across websites, and normally ends when the browser tab or window is closed.

We do not intentionally use advertising trackers or cross-site tracking on this website.

If you follow a link to LinkedIn, WhatsApp or another external service, that service processes information under its own privacy policy.

Your rights

Depending on the circumstances, you may request access to, correction or deletion of your personal information. You may also request restriction of processing or, where applicable, receive your information in a portable format.

You may object to processing based on legitimate interests on grounds relating to your particular situation.

Where processing relies on consent, you can withdraw that consent at any time without affecting the lawfulness of earlier processing.

To exercise your rights, contact info@qforge.nl. We may need additional information to verify your identity. We respond without undue delay and normally within one month. If an extension is permitted and necessary, we will inform you within that month and explain why.

You may also lodge a complaint with the Dutch supervisory authority, the Autoriteit Persoonsgegevens.

Changes to this policy

We may update this policy when our services or the way we process information changes. The date above indicates the latest revision.
